Privacy policy.

Effective Date: May 26, 2025

Sunday House (“we,” “our,” or “the organizers”) is a private, community-led initiative hosted on Lake Muskoka. We are committed to handling your personal information with integrity, transparency, and care. This Privacy Policy outlines the type of information we collect, how we use it, and the circumstances under which it may be shared or retained.

By registering for or attending Sunday House events, you acknowledge and agree to the practices described below.

1. Information We Collect

We collect personal and household information to ensure smooth, safe, and inclusive program delivery. This may include:

  • Names, email addresses, phone numbers

  • Number of attendees, ages of children, emergency contact info

  • Medical/dietary details (if voluntarily provided)

  • Attendance history and participation preferences

  • Photos or video from events

  • Feedback or testimonials

  • Communications with organizers

We may also collect technical data (e.g., device or browser metadata, IP address) via our website for usage analytics, event interest tracking, or optimization.

2. How We Use Your Information

Your information may be used to:

  • Coordinate event logistics and programming

  • Communicate updates, scheduling, or cancellations

  • Group attendees by age or interest for swim lessons or shared meals

  • Ensure health, dietary, and safety needs are accounted for

  • Evaluate participation patterns to improve future offerings

  • Create de-identified summaries or insights for internal planning or program development

With your explicit consent, we may also:

  • Share select testimonials, photos, or names to promote Sunday House

  • Invite you to participate in future community initiatives or programs

3. Data Retention & Storage

We retain personal information only as long as reasonably necessary for program operations, event planning, or internal analysis. Information is stored securely using password-protected platforms or reputable third-party tools (such as Google Forms, Typeform, or email management systems).

4. Disclosure of Information

While we do not sell your personal information, there are certain circumstances under which we may share data, thoughtfully and with discretion:

  • With trusted service providers (e.g. registration tools, payment processors) who assist with the management of the program

  • For internal strategic planning or reporting — including sharing de-identified or anonymized data with advisors, insurers, or community partners

  • In the event of investment, partnership, or funding evaluation, we may disclose limited participant data (e.g. aggregated demographics, attendance insights, engagement rates) to prospective collaborators or backers, as long as any personally identifying information is treated confidentially and not used for independent outreach or marketing

We reserve the right to share personal information if required by law or to protect the safety and well-being of our guests or community.

5. Photographs, Media & Promotion

Sunday House occasionally captures images, video, or audio of its programming. These may be used for:

  • Internal documentation and planning

  • Promotional materials (web, print, social media)

  • Retrospectives or recap content for registered guests

We will never publish close-up images of minors or identifiable private guest content without prior, written consent. If you prefer not to be photographed, you may notify us at any time and we will do our best to accommodate.

6. Children’s Information

We collect information about children (such as age, swimming ability, or allergies) only with parent or guardian consent and use it solely for organizing safe and age-appropriate programming. We do not knowingly collect or store any unnecessary information about minors.

7. Your Rights & Access

You may at any time:

  • Request a copy of the information we have about you

  • Ask to update or correct your information

  • Request that your information be deleted (subject to administrative or legal requirements)

To do so, email sundays@orangetowel.com.

8. Future Use & Policy Changes

As Sunday House evolves — including potential expansion, formalization, or long-term funding — our approach to data may also evolve. We reserve the right to update this policy to reflect changes in operations, compliance, or community needs.

We will notify registered participants of any significant changes, and you may choose to opt out at any time.

9. Questions or Concerns

We’re committed to doing this thoughtfully. If you have questions, concerns, or ideas for how we can improve our approach to privacy and participation, please reach out.
